Job Summary

We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our Senior Management team.
The ideal candidate will be a reliable and resourceful professional capable of managing multiple tasks and priorities in a fast-paced environment.
As the Administrative Assistant for Senior Management, you will play a crucial role in ensuring the smooth and efficient operation of our executive office.

Main Responsibilities

Will act as an assistant to the assigned executives and attend to their work-related needs to ensure smooth operations.
Coordinate and manage the complex schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.
Serve as the primary point of contact for internal and external communications directed to senior management, screening calls, managing emails, and drafting correspondence as needed.
Organize and coordinate meetings, conferences, and events for senior management, including preparing agendas, coordinating logistics, and arranging catering.
Maintain and organize electronic and hard copy files, records, and documents and always ensure confidentiality and accuracy.
Arrange travel itineraries and accommodations for senior executives, including flights, hotels, ground transportation, and visas when necessary.
Process expense reports and reconcile credit card statements for senior management, ensuring compliance with company policies and procedures.
Assist with various projects and initiatives as assigned by senior management, providing administrative support and coordination as needed.
Collaborate with other administrative staff and departments to support cross-functional initiatives and ensure seamless communication and coordination.

Qualifications & Skills

Bachelor's Degree in Business Administration or related field.
Proficiency in project management tools and software.
Minimum two (2) years’ experience as an administrative or executive assistant to senior management.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Critical thinking and analysis.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong communication and interpersonal skills, with a professional and courteous demeanor.
Discretion and confidentiality when handling sensitive information and correspondence.
Ability to work independently with minimal supervision and as part of a team.
Flexibility and adaptability to changing priorities and demands.
