POSITION : Procurement and Admin Officer
Description
- A detail-oriented, thorough, and organized procurement & admin officer to oversee office day to day administrative duties, purchases and also develop new contracts. In this position, you will play a key role in procuring high-quality and cost-efficient supplies for our organization.
- You will follow procurement procedures, maintain an updated list of inventory and incoming purchases and supplies, and be responsible for getting approvals for purchases.
Procurement Responsibilities
- Maintain records of purchases, pricing, and other important data
- Review and analyze all vendors/suppliers, supply, and price options
- Develops plans for purchasing equipment, services and supplies
- Negotiate the best deal for pricing and supply contracts
- ensure that the products and supplies are high quality
- Estimating and establishing cost parameters and budgets for purchases
- Maintain accurate records of purchases and pricing
- Create and maintain good relationships with vendors/suppliers
- Making professional decisions in a fast-paced environment
- Create and maintain inventory of all incoming and current supplies
- Maintain and update list of suppliers and their qualifications, delivery times, and potential future development
Administrative Responsibilities:
- Organize a filing system for important and confidential company documents
- Answer queries by employees and clients
- Maintain a company calendar and schedule appointments
- Lease with vendors for repairs and maintenance
- Distribute and store correspondence (e.g. letters, emails and packages)
- Prepare reports and presentations with statistical data, as assigned
- Manage office supplies stock and place orders
- Prepare regular reports on expenses and office budgets
- Maintain and update company databases
- Arrange travel and accommodations
- Schedule in-house and external events
Qualifications
- Bachelor’s degree in Business Administration, Accounting, or related field preferred
- Knowledge and understanding of procurement processes, policy, and systems
- 2 years previous experience as procurement and admin officer or related position
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
- Ability to analyze problems and strategize for better solutions
- Ability to negotiate, establish, and administer contracts.
